Sound familiar? Three versions of the same file
Every report is built from scratch. The data exists in three versions on three drives. Someone changed a formula, and someone else does not know about it. Decisions are made on data that is a week old.
Excel chaos is not a tool problem, it is a process problem. Without a single source of truth, the team’s energy goes into finding and reconciling data instead of analysing it.
Excel is not the problem. The problem is Excel as the only database, version control and reporting tool — with three people editing the same file.
Fix it systematically: one source of truth instead of Excel
- 1
Define one source of truth
Financial and operational data in one system, not in five files. Everyone looks at the same number — which ends the arguments over whose file is up to date.
- 2
Replace copy-pasting with automatic integration
Invoice issued → it appears in cash flow, in costs, in the report. Manual copy-pasting is the least reliable element of the process.
- 3
Simplify reports into decision questions
A report should answer a question, not show everything. Fewer tables, more conclusions.
- 4
Introduce roles and permissions
Not everyone needs to edit. Most people should only view — this protects the data from accidental damage.
We struggled with this ourselves: how Administy cleaned up the Excel chaos
A company with a 12-person team was losing about 20 hours a week retyping data between Excel files, the invoicing system and the accounting records. At Administy we connected invoicing, cost records and cash flow into one flow — an issued invoice automatically updated every view. The weekly report that used to take half a day now generates itself and is always up to date.
